Privacy Notice (KVKK)

Under Article 10 of Personal Data Protection Law No. 6698 (the “KVKK”), BİMODEL BİLİŞİM TEKNOLOJİ YAZILIM ANONİM ŞİRKETİ (the “Company”), as data controller, explains why and how it processes your personal data on the Kolay Dolap platform.

2. Scope

This notice covers the owners, employees and representatives of the workshops (dealers) and panel cutters that apply to or hold an account on Kolay Dolap, and anyone who contacts us.

Information about legal entities is not personal data under the KVKK. If your firm is a sole proprietorship, its business and tax details are personal data too and are processed under this notice.

3. Data processed

  • Identity: name, surname and role of the firm's authorised person and account users.
  • Contact: email address, phone number, business and delivery address.
  • Business and tax details: firm name, province and district, business details (products, machinery, team size, service area), tax office and tax ID.
  • Customer transactions: applications, orders, cutting lists (part sizes, quantities, board and edge band choices), projects, model configurations, order statuses and correspondence.
  • Panel cutter details: price lists, board and edge band catalogue.
  • Security: IP address, sign-in and transaction logs, account password stored with one-way encryption.
  • Analytics: cookie data on how the site is used, only with your consent.

Kolay Dolap takes no card payments. Card details are neither requested nor processed.

4. Purposes

  • Reviewing applications, opening accounts and sending the link to set a password.
  • Passing cut orders to the chosen panel cutter and emailing order and status updates to both parties.
  • Keeping cutting lists, projects and models so that orders can be prepared and viewed later.
  • Showing panel cutters' prices and catalogues to workshops when they order.
  • Managing the contractual relationship between the Company and the firms, invoicing and accounting.
  • Answering requests, questions and complaints.
  • Information security, preventing misuse and meeting legal obligations.
  • Measuring how the site is used and improving the platform, if you consent.

5. Collection and legal grounds

Your data is collected electronically through the dealer and panel cutter application forms, the firm panels, the cutting list and model tools, email correspondence and cookies.

It is processed on the legal grounds listed in Article 5(2) of the KVKK: processing directly related to the conclusion or performance of a contract (c), compliance with the Company's legal obligations (ç), establishing, exercising or protecting a right (e) and the Company's legitimate interest, provided it does not harm your fundamental rights and freedoms (f). Analytics cookies rely on your explicit consent alone.

6. Transfers

For these purposes only, and only as far as necessary, your data may be shared with:

  • The other firm in an order: the workshop's name, contact and delivery details and cutting list are shown to the panel cutter it orders from; the panel cutter's name, contact details and prices are shown to the workshop that orders.
  • The providers of our hosting, database, file storage and email services.
  • Analytics providers, if you consent.
  • Our accountants, legal advisers and auditors.
  • Competent public authorities and courts, on request.

Transfers to providers with servers abroad follow Article 9 of the KVKK. The providers are listed in the Privacy Policy.

7. Retention

Data is kept for as long as its purpose requires and for the periods set by law. Commercial books and records, and the order records behind them, are kept for 10 years. Applications that are not accepted are kept for 1 year after the outcome is notified; security logs for 2 years.

When an account is closed, order and transaction records are kept for these periods. Data is then deleted, destroyed or anonymised.

8. Your rights

Under Article 11 of the KVKK you may ask whether your data is processed and, if so, request information about it; learn the purpose of processing and whether it is used accordingly; know the third parties in Türkiye or abroad it is transferred to; request correction if it is incomplete or inaccurate, and its deletion or destruction, and have these notified to the third parties it was transferred to; object to an adverse result arising from analysis by automated systems alone; and claim compensation for damage caused by unlawful processing.

9. How to apply

Send your request with information verifying your identity in writing to Bilişim Vadisi İzmir, Gülbahçe Mah., 35430 Urla / İzmir, or from your registered email address to info@kolaydolap.com.

Requests are resolved free of charge within 30 days at the latest, depending on their nature. If the request involves an additional cost, the fee set by the Personal Data Protection Board may be charged.
